Job Summary

Our client is seeking an experienced Export, Customs & State Vet Administrator to execute, coordinate and facilitate the end-to-end administration of road freight exports, customs clearance processing and agricultural and veterinary regulatory compliance.

The successful candidate will ensure the efficient, compliant and timely cross-border movement of frozen food commodities (chicken, pork, beef, fish and vegetables) as well as manufacturing dry commodities. This role serves as the key link between internal operations, clearing agents, transport providers and state regulatory authorities to secure the required permits, inspections and clearances.

Minimum Qualifications & Experience

Education

  • Matric (Grade 12) is essential.

  • A Diploma or Degree in Logistics, Supply Chain Management, International Trade, Business Administration or a related field will be advantageous.

Experience

  • Minimum 3–5 years' experience in export coordination, customs administration, international logistics or freight forwarding.

  • Experience within cold chain logistics, frozen food products or agricultural commodities is highly advantageous.

  • Proven experience working with the following regulatory authorities:

    • DALRRD / DARD

    • Border Management Agency (BMA)

    • National Regulator for Compulsory Specifications (NRCS)

    • Perishable Products Export Control Board (PPECB)

    • SARS Customs

Technical Skills

  • Proficient in Microsoft Office with intermediate to advanced Excel skills.

  • Experience using Syspro or a similar ERP system is advantageous.

  • Sound knowledge of Incoterms (2020), international shipping practices and freight forwarding operations.

Key Responsibilities

Customs & Clearing Administration

  • Process, print and compile customs clearing instructions and draft entries.

  • Verify Incoterms and request applicable freight, cartage and customs charges.

  • Upload and maintain customs, trade and border documentation.

  • Update logistics dashboards with bond statuses, entry releases and clearance timelines.

  • Coordinate Ex-Bond entries and distribute approved releases.

  • Prepare and manage Letters of Authority (LOAs).

  • Liaise daily with clearing agents regarding outstanding documentation.

Export & Transport Coordination

  • Coordinate road freight exports from order confirmation through to final delivery.

  • Prepare, submit and monitor export documentation within regulatory deadlines.

  • Ensure compliance with export Standard Operating Procedures.

  • Assist with transport rate negotiations.

  • Verify transporter compliance documentation.

  • Coordinate transport claims and temperature deviation processes.

State Vet & Regulatory Compliance

  • Control, monitor and distribute import and export permits.

  • Manage veterinary applications relating to regulated animal products.

  • Coordinate inspections, approvals and health certifications.

  • Monitor changes in import/export legislation, veterinary protocols and border regulations.

  • Communicate compliance updates to internal stakeholders.

  • Perform any other related duties as reasonably required.
