

We’re looking for a high-level Operations Manager who can take full ownership of our systems, workflows, and technical infrastructure.
This is not a task-based or support role.
You will be responsible for building, optimizing, and managing the operational engine of the business, including CRM systems, automations, reporting, and internal processes. You’ll work directly with leadership and play a key role in driving efficiency, visibility, and scale.
The right person doesn’t wait for direction; they identify what needs to be built, fixed, or improved and take action.
Own and manage all internal operational systems and workflows
Identify gaps, inefficiencies, and opportunities for automation
Prioritize and execute system improvements that drive business performance
Act as the operational lead in leadership meetings (L10-level ownership)
Build and optimize workflows, automations, and pipelines in GoHighLevel and Close.io
Manage data structure, segmentation, and reporting accuracy
Troubleshoot issues and continuously improve system performance
Implement integrations using tools like Zapier or webhooks
Leverage AI tools to build and improve internal systems (databases, workflows, lightweight apps)
Handle technical problem-solving across tools, integrations, and data flow
Partner with contractors when needed, but own the outcome
Build, document, and refine scalable operational processes
Create dashboards and reporting that provide clear visibility into performance
Ensure systems are organized, efficient, and aligned with business goals
4+ years in operations, systems, or technical project management roles
Proven experience owning and improving business operations (not just supporting them)
Background in fast-paced, small-to-mid-sized businesses
Strong experience with GoHighLevel and/or Close.io
Advanced CRM automation and workflow building
Experience with integrations (Zapier, APIs, webhooks)
Solid understanding of data structure, reporting, and system design
Comfortable using AI tools to build or enhance systems
Thinks in systems, not tasks
Able to prioritize what matters without constant direction
Proactively identifies problems and implements solutions
Strong attention to detail without losing sight of the bigger picture
Excellent written and verbal English
Available during Pacific Time business hours (8:00 AM – 4:00 PM)
Able to collaborate directly with leadership and cross-functional teams
This role is critical to scaling the business. You will be the person who ensures operations run smoothly, systems are optimized, and nothing falls through the cracks.
You won’t just execute, you’ll own, build, and improve.
